V. TERMS & CONDITIONS FOR EXHIBITORS — IDEABAAZ STARTUP FEST 2026

General Instructions

The Exhibitors applying for stalls at any edition of IDEABAAZ STARTUP FEST agree to observe and abide by the terms and conditions of participation mentioned below. The organizer reserves the right to modify, change, or issue new terms, conditions, and rules of participation, promotion, and benefits at IDEABAAZ STARTUP FEST of all editions at any point in time.

The organizer reserves the right to change the layout of the stalls and re-allocate stalls in case of changes in the entry-exit points, electrical fitting / pillars-wall extensions, measurement issues, or fire exit changes of the exhibition hall, etc. No arguments will be entertained from exhibitors in case of a change in layout. Exhibitors should book only if they are 100% sure of their participation.

If for any reason IDEABAAZ STARTUP FEST is cancelled, postponed, or suspended fully or partially due to any reason beyond the control of the organizers — such as war, terrorist attacks, weather conditions, pandemics, fire, natural calamities, national emergency, law and order problems, labour disputes, venue owner disputes/problems, or any other cause beyond the organizers’ control — the organizers will repay only the proportionate part of the stall rent paid by exhibitors, after deducting all expenses incurred on the exhibition, including office establishment, advertising, and marketing, right from the announcement of the exhibition date. In such cases, organizers may instead reschedule the exhibition to a future date, in which case participation of exhibitors who have already booked stalls will be mandatory if they do not opt for a refund after deduction of expenses as mentioned above.

To confirm your participation in IDEABAAZ STARTUP FEST, a 50% booking fee is required upfront. The full payment must be completed before the final deadline, or your stall will be cancelled with no refund.

All exhibitors must submit a pre-designed layout of their display along with a detailed concept for approval. Once accepted, no changes will be permitted. On acceptance of the application or allocation of stalls, the Exhibitor by default enters into a contract with the organizers wherein the Exhibitor agrees to participate and abide by the Terms & Conditions of IDEABAAZ STARTUP FEST, also mentioned on the website.

Organizers reserve the right to cancel a stall booking if any of the terms and conditions are violated by the Exhibitor. Eventually, the stall booking amount may be forfeited in part or in full by the organizers.

The stall setup/display installation of exhibits must be finished on the same day of possession of the stall. All additional panels, lighting, furniture, security, and other equipment required by Exhibitors have to be taken only from the official contractors appointed by the organizers. Please note that setup is not allowed during exhibition hours.

Exhibitors must begin removing all exhibits and belongings no later than 8:00 pm on the last day of the exhibition and finish packing before the prescribed time given for the exhibition.

All exhibitors must comply with applicable health, fire, and safety regulations. The organizers reserve the right to conduct a health and safety check as stated in the Exhibitors’ Manual. Exhibitors will be requested to remove any exhibits/installation/artwork that does not meet the health & safety requirements stated in the Exhibitors’ Manual, or to take steps to ensure compliance.

The Organizer will provide security on a 24-hour basis from the start of the setup day till the end of the dismantling day. The Organizer will provide only general security at the venue and will not be responsible for individual stall exhibits and personal belongings. The organizers cannot be held liable for any loss, theft, or damage of any exhibiting items.

Exhibitors must bear all costs and risk associated with the transport, display, and removal of their exhibits and goods. Exhibitors must insure their exhibits & belongings against loss, damage, theft, fire, or any other risk, and carry third-party insurance for the total duration, at their own cost. While the organizers will employ adequate security and take all precautionary measures, the organizers cannot be held liable for any loss, theft, or damage due to any untoward incident or natural calamity. Exhibitors have to take care of their personal belongings; the organizer will not be responsible for any loss or theft.

Exhibitors or their representatives cannot advertise or distribute advertising material anywhere on the IDEABAAZ STARTUP FEST premises except at their own stalls. Exhibitors can’t display/paste a name/logo anywhere in the stalls except on the standard fascia name provided by the organizer. If such names/logos are displayed elsewhere, organizers have the right to remove them without intimation to the exhibitor, and organizers will not be responsible for any damage caused due to such removal.

Exhibitors will not be allowed to display exhibits in a manner that obstructs light, impedes passage, or affects the display of neighbouring exhibitors. Any such display, if causing obstruction to the smooth movement of visitors in the passages, will be removed by the organizer. Exhibitors can’t display exhibits on the exterior walls of the stall.

Facilities/vendors/equipment/lights/branding/promotion/exposure, etc. will vary from hall to hall. Exhibitors will not compare facilities between two venues of the exhibition. The Organizer has full rights to add or remove any facility as per the terms and conditions of the venue provider.

The Organizer and its authorized contacts can carry out works, repairs, or alterations at any time during the exhibition if found to be a disturbance or obstacle to their stall. The Exhibitor has to accept such last-minute changes, and no argument or compensation will be entertained for damage, loss, or inconvenience thus caused.

All verbal communication, consent, and approvals shall be considered invalid; only written/email communication will be considered valid by the organizer. Any disputes are subject to be settled only by the law agencies under the jurisdiction of Mumbai, India.

Exhibitors cannot cancel or reduce the size of a stall once booking is done. Exhibitors participate on their own accord after going through complete enquiries, pros, and cons, and not due to any allurement from the organizer. It is requested to book stalls only after due diligence; if the amount is not fully paid before the payment deadline, the organizers can dispose of the stall in whatever way they think fit to recover their losses, and payment already made will not be adjusted, even in the current edition, towards the stall of any other exhibitor, even if in close relation.
